We all have processes that we repeat over and over again. But are these processes written down? Do you know every single task you need to complete when you sign a new client or start a new marketing campaign? Probably not. But that’s okay because TimeHero has developed an easier way to keep track of all of the tasks for every single process you have. We call them workflow projects. Workflow projects are a series of linked, scheduled, smart tasks and they are going to save you A LOT of time.
Create a workflow project template once and trigger it with the click of a button whenever you have to go through that process again. It really is that simple! Workflow projects are made up of headers, tasks, booking tasks and events.
- Headers - Headers are used to indicate separate groups of tasks or events.
- Tasks - Create tasks the same way you do in your projects but workflow project tasks can be set up to be dependent on other tasks, booking tasks or events in the workflow project. You can assign tasks in the template or switch up the assignee when the workflow project is being launched.
- Events - If you know the date of the event or meeting when you are launching the workflow then you would use an event. If not, see Booking tasks.
- Booking tasks - Sometimes when we launch a workflow we may not know when the event or meeting is taking place - this is where booking tasks comes in. A booking task is essentially a task to book an event or meeting. For example, create a booking task to schedule a meeting with Client A and when you complete this task you will be prompted to schedule the event.
Task dependencies are key in workflows. If you have some tasks that can’t start until others are completed, TimeHero doesn’t want to fill up your schedule with these tasks until you can actually work on them so you can set dependencies. Set up your tasks to start and be due before or after other tasks, booking tasks or events within your workflow. These templates will save you hours when you're planning out your projects and will help you make sure no task ever falls through the cracks. As soon as you launch your workflow, you'll see a real-time project forecast so you can see if your projects are at risk before it’s too late.
TimeHero has also set up a Marketplace where you can find workflow project templates created by industry professionals. Search the marketplace for templates you might find useful and add these templates to your team. You can make any necessary adjustments to make these workflow project templates work for you.
